What Information Must Be Included on an Invoice?

A complete checklist of everything a professional invoice needs.

Whether you are sending your first invoice or your hundredth, it is important to include all the right information. Missing key details can delay payment, create confusion, and cause problems during tax filing. Here is a complete checklist of everything a professional invoice should include.

1. Invoice Number

Every invoice needs a unique identification number. This helps both you and your client reference the invoice in future communications. Use a sequential system such as INV-001, INV-002, INV-003. Never reuse numbers. Use an automatic invoice number generator to avoid duplicates.

2. Your Business Information

Include your full legal name or business name, business address, email address, and phone number. If you have a business logo, include it at the top of the invoice. This tells the client who the invoice is from and where to direct questions.

3. Client Information

Include the client's full name or company name, billing address, and any relevant contact information. If the client provided a purchase order number, include it as well. This ensures the invoice reaches the correct person and department.

4. Invoice Date and Due Date

The invoice date is when the invoice was created. The due date is when payment is expected. Common payment terms include “Net 30” (payment due in 30 days), “Net 15”, or “Due on receipt.” Clear due dates help avoid confusion about when payment is expected.

5. Description of Products or Services

List each product or service provided, the quantity, the unit price, and the line total. Be specific — instead of “Services rendered,” write “Website design — homepage and 5 interior pages.” Detailed descriptions prevent disputes and help clients understand what they are paying for.

6. Subtotal, Tax, and Total

Show the subtotal (sum of all line items), any applicable taxes (sales tax, VAT, GST), and the final total due. If different items have different tax rates, list them separately. The total should be prominently displayed so the client can immediately see how much they owe.

7. Payment Instructions

Tell the client exactly how to pay you. Include your bank account details (bank name, account number, routing number), a payment link if you accept online payments, or any other method you prefer. The more payment options you offer, the faster you will get paid.
